This notice explains how Whitespace AI, Inc. ("Whitespace", "we") collects and uses personal data when you visit our website, contact us, sign up for our product, or otherwise interact with us. We are the controller of the personal data described below.

Customer data
When customers use Whitespace, we process personal data contained in their orders, invoices, contacts, and other business records on their behalf and under their instructions. This notice does not cover that processing — please contact your employer or the relevant Whitespace customer for their own privacy notice.
Sharing
We share personal data only with: service providers who help us operate (see Sub-processor List); professional advisers under confidentiality; authorities where required by law. We do not sell personal data.
International transfers
Whitespace's primary customer data storage is hosted in the EU. Specific processing functions (including AI inference, authentication, and certain analytics) are performed by sub-processors located in other jurisdictions, including the United States. Where service providers we use are based outside the country where you are located, we rely on appropriate transfer mechanisms, which may include the UK International Data Transfer Agreement, the UK Addendum to the EU Standard Contractual Clauses, the EU Standard Contractual Clauses, and the EU-US Data Privacy Framework (and its UK Extension), depending on the transfer.
Retention
We keep personal data only as long as needed: customer account data for the term of the contract plus 12 months; prospect contact data until you ask us to delete it or for up to two years after our last interaction; marketing data until you unsubscribe; records required for legal reasons (e.g. tax) for the period required by law.
Your rights
Depending on your location, you may have rights regarding your personal information, including the right to access, correct, delete, or port your data. To exercise these rights, contact us at team@whitespacehq.ai.
You have the right at any time to prevent us from contacting you for marketing purposes. When we send a promotional communication to a user, the user can opt out of further promotional communications by following the unsubscribe instructions provided in each promotional email. Please note that notwithstanding the promotional preferences you indicate by either unsubscribing or opting out, we may continue to send you administrative emails including, for example, periodic updates to our Privacy Policy.
Right to lodge a complaint. If you are in the United Kingdom, you have the right to lodge a complaint with the Information Commissioner's Office at ico.org.uk. If you are in the European Economic Area, you have the right to lodge a complaint with your local data protection supervisory authority.
